Synaloop - Vokabeltrainer is a vocabulary app with a spaced repetition schedule and printed tests checked by AI. It is meant for everyone aged 13 or older.
When you create an account and use the app, this data is stored:
The learning state of each Vocab is not stored on the server; it is calculated on your device from the Review log. Part of the data is also kept locally in the app on your device (so it works offline).
Your Books can only be read by the owner of the account. Only upload and share content you may copy for private use.
The data is stored with Google (Firebase / Google Cloud): Firebase Authentication for the account and Cloud Firestore for everything else. Scans are checked in a Cloud Function in the region europe-west1 (Belgium). Cloud Firestore stores the data in the EU multi-region eur3 (Belgium and the Netherlands). Google may process data in third countries under Google's own safeguards (e.g. standard contractual clauses).
When you photograph a completed Test, the photo is sent to our Cloud Function. It forwards the photo, together with the list of expected answers, to the API of OpenAI (USA), which reads the handwriting and rates it. The photo may also show whatever you wrote on the page, for example your name on the name line.
Your name, your e-mail address and your Review log are not sent to OpenAI.
We process the data to provide the app: sign-in, syncing between your devices, learning schedule, Tests and statistics (Art. 6(1)(b) GDPR). The counters protect against excessive costs and abuse (legitimate interest, Art. 6(1)(f) GDPR). There is no advertising, no analytics or crash reporting service, and no sharing for advertising.
The data is kept as long as your account exists, with one exception: Tests are deleted automatically. A Test you have confirmed is deleted 7 days after you confirmed it, and any other Test (printed or scanned, but not yet confirmed) 90 days after it was last changed. You can also delete a Test yourself at any time in the app. Deleting a Test does not delete your Reviews, so your learning progress is kept.
You can delete your account in the app at any time: Settings → Delete account. Without the app, use the page Delete account. This deletes your account, your Library and Books, all Reviews, all Tests and Scan results, your Settings, the counters and the Share codes you created on the server, for all devices. Afterwards the data on the device where you deleted the account is removed. Other devices are signed out; they may still hold a local copy until the app is used with a different account or uninstalled.
Deleting needs an internet connection and signing in again to confirm. Reviews that were not uploaded yet are lost. Backups at Google may exist for a limited period of up to 180 days.
If you cannot use the app, request the deletion on the page Delete account or write to synaloop@gmail.com, and the account will be deleted by hand.
You have the right of access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and objection (Art. 21). You can withdraw consent at any time with effect for the future. You can complain to a data protection authority (competent authority: Landesbeauftragte für Datenschutz und Informationsfreiheit Nordrhein-Westfalen, LDI NRW). For any request, contact synaloop@gmail.com.
The app is meant for everyone aged 13 or older and is not directed at children. If you are under 13, you may not create an account. The AI check is based on your consent (section 4); if you are under 16, you need your parents' consent for it (Art. 8 GDPR).
If the app is extended, this policy is updated. The date above shows the current version.
